Administration & Facility Officer

You will be responsible for various administrative & logistical tasks related to stock management for project support. You will process data for in/outbound parcels and inventory items in Microsoft Business Central (ERP). Your core responsibility is to keep warehouse and inventory data accurate and up to date, to support efficient operations for Project and Service activities.  
You will also coordinate the organization of the facilities activities.

In this position, you will be responsible for various administrative tasks related to warehouse management and project support. You will process data for in/outbound parcels and inventory items in Microsoft Business Central (ERP).

Your core responsibility is to keep warehouse and inventory data accurate and up to date to support efficient operations for Project and Service activities. You will be part of the Finance and Administration department.

What You Do on a Typical Day with regards to stock management: 

  • Administrative management of incoming goods; handle all parcel & inventory item movements for Projects and General stock in Microsoft Business Central. 
  • Prepare incoming goods for physical movement to the stock (physical movement will be limited, as we have a person available for suitable support); prepare parcels & pallets for sending to our partners. 
  • Follow up parcel and inventory item administration (steering transport companies & entering receipt documents in the ERP system). 
  • Administration of returned goods (RMA) to our suppliers. 
  • Organize and manage the stock; management (reporting status, controlling of the shipments …) of inventory and deliveries. 
  • Develop, update and improve procedures with regards to internal and external logistics. 
  • (in team) Manning the reception desk (by phone & physically). 
  • Fluent and constructive communication with customers, suppliers, colleagues, … (by phone, face-to-face and e-mail) – Contact person for our project managers with regards to preparation of material for projects; Coordination with our subcontractors to organize the pickup of material. 
  • Monthly inventory count. 

And what about facilities? 

  • Following up facility tickets by organising actions and works to be carried out by in-house staff or external partners. 
  • Supervising the internal colleague responsible for execution 
  • Validating invoicing documents of products and services delivered within the framework of facility activities. 
  • Proposing improvements/investments to optimise the infrastructure. To this end, the necessary tenders are requested and a summary file is drawn up. 
  • Ensuring timely maintenance and inspections and all related certificates to comply with legal requirements and those related to ISO14001 certification. 
  • Project management of internal facility projects

Recognize this skill set?

  • Fluent in Dutch/English or French/English 
  • Flexible and polyvalent – Rigorous 
  • Excellent communication skills (oral as well as written) 
  • Team player  
  • You are keen to find out solutions
  • Dynamic, organized, service minded, dedicated, takes responsibility
  • Administrative skills, able to work with the standard Microsoft tools (Word, Excel, Outlook).
